How Promo Codes Work
Promo codes allow SnapBOI Partners to offer discounts to their clients on BOI Report filings. These codes are created and managed by the Partner's Principal Preparers and apply to individual BOI reports or credits, not to the entire transaction. Once a promo code is created, it will be visible and usable by all Filers within the partner’s system.
Only Principal Preparers are able to create promo codes. The option to manage promo codes is found under "Branding & Settings."
Using and Communicating Promo Codes
Promo codes will not be automatically communicated to end-users when they become available. It is the partner’s responsibility to inform their clients about any active promo codes. If a partner wants a promo code to only apply to a specific reporting entity, they can set it up that way. The partner chooses the actual text for each promo code (e.g., “BOI2024” or "20OFF"). Each promo code must be unique and once a promo code text is established it cannot be used again.
Alternatively, partners may also consider using the "Sale Mode" feature (see below), which allows discounts to be automatically applied at checkout, simplifying the process for their clients.
Discount Types: Percentage or Fixed Amount
Partners can choose whether the discount is a percentage (e.g., 10% off) or a fixed dollar amount (e.g., $25 off). Whole numbers must be used.
Setting Time Limits and Usage Caps
Promo codes can have start and end dates, which makes them useful for marketing campaigns. If no dates are applied, the promo code will remain active until the partner terminates it. Additionally, partners can limit the number of times a promo code can be used. For example, if a promo code is limited to 10 uses, it will stop working after it has been applied to 10 BOI reports.
In rare cases, multiple Filers may use a promo code at nearly the same time, exceeding the usage limit. In such situations, the promo code might still apply to more reports than intended. This can happen if the system processes multiple transactions simultaneously.
Automatic Discounts with Sale Mode
Sale Mode allows a partner to apply a promo code automatically, so end-users don't have to manually enter it at checkout. This can simplify the process for the end-user, as the discount is applied directly to the final price.
Promo Code Pricing Limits
If a promo code results in a discount that would make the price lower than SnapBOI’s minimum base filing fee, the system will automatically apply a stopgap. This ensures that the price does not drop below the minimum allowed filing fee.
Changing Promo Codes
Partners can modify promo codes at any time. For example, a $25 discount can be changed to $10, and future end-users will receive the updated discount. However, if an end-user has already added the promo code to their cart, they will still receive the original discount, even if the promo code is updated afterward.
Managing Promo Codes During Active Filings
If a partner changes or deletes a promo code while an end-user has already entered it but hasn’t completed payment, the system will still honor the discount. End-users who entered a valid promo code before the change will receive the discount they were offered at the time.
Tracking Promo Code Usage and Revenue
All transactions, including those with promo codes, are recorded in the partner’s revenue report. This reflects any discounts applied, even if a promo code has been deleted after it was used.
Use of Promo Codes by Preparers or Principal Preparers
It’s important to note that when Preparers or Principal Preparers pay for reports, they cannot use promo codes, as they already receive the base pricing set by SnapBOI.
